Growth Coordinator
Nexus Health Systems
Help connect patients and families with the care they need.
Nexus Health Systems is seeking an organized, service-focused Growth Coordinator to support admissions, referrals, and growth operations. In this nonclinical role, you will serve as a welcoming point of contact for prospective patients, families, referral sources, and community partners—helping inquiries move efficiently from initial contact to the appropriate next step.
This position combines customer service, referral coordination, CRM management, reporting, and event support. The ideal candidate communicates with compassion, manages competing priorities, and follows through on the details that help people access care.
What You’ll Do
Support Referrals and Admissions
Respond promptly and professionally to inquiries received by phone, web, and approved referral platforms.
Gather required nonclinical referral information, explain available programs, and connect inquiries with the appropriate Growth Liaison, admissions representative, or clinical reviewer.
Coordinate appointments, records requests, follow-up activities, and timely handoffs between teams.
Follow up on leads, incomplete referrals, and referrals directed to other providers.
Recognize urgent, complex, or clinically sensitive concerns and escalate them to the appropriate team member.
Create a Positive Patient and Family Experience
Help prospective patients and families understand the referral and admissions process, anticipated next steps, and available support resources.
Use active listening, clear communication, and a respectful, person-centered approach when assisting individuals navigating sensitive or stressful circumstances.
Identify communication needs and access barriers, connecting individuals with interpretation, accessibility, or other appropriate resources.
Protect privacy and confidentiality while keeping clinical, eligibility, coverage, and financial decisions with designated staff.
Maintain Accurate Records and Reporting
Keep CRM records current, complete, and accurate, including referral status, assigned ownership, follow-up activity, and next steps.
Monitor work queues and communicate barriers that could delay referral processing.
Review records for duplicate, missing, or inconsistent information and coordinate corrections.
Prepare referral, lead, conversion, and activity reports for leadership.
Support quality monitoring, audits, and workflow improvements within the scope of the role.
Coordinate Growth Activities and Events
Support conference and professional-event registrations, logistics, materials, shipping, and follow-up.
Coordinate approved payments and related expenses while maintaining accurate supporting documentation.
Collaborate with growth, admissions, clinical, and leadership teams to support consistent communication and dependable follow-through.
Uphold Service and Compliance Standards
Follow organizational policies, approved workflows, privacy requirements, and applicable program standards.
Use approved systems to receive, document, and share sensitive information.
Collect authorized demographic and payer information and route insurance verification, authorization, and financial counseling needs to designated staff.
Complete required training and stay informed about program offerings, referral resources, and admissions procedures.
Perform other duties as assigned.
What You’ll Bring
Education
High school diploma or equivalent required.
Associate’s or bachelor’s degree in healthcare administration, behavioral health, business, communications, or a related field preferred.
Preferred Experience
At least one year of experience in healthcare, behavioral health, admissions, referral coordination, patient access, business development, customer service, or administrative support.
Experience documenting referrals or leads in a CRM, EHR, or comparable database.
Experience coordinating events, conferences, or professional meetings.
Behavioral health or substance use treatment experience, including familiarity with intake workflows and referral resources.
Skills
Strong verbal and written communication, active-listening, customer-service, and professional telephone skills.
Excellent organization, attention to detail, time management, and follow-through.
Ability to manage multiple priorities and communicate respectfully with individuals experiencing stressful circumstances.
Proficiency with spreadsheets, email, virtual meeting tools, and standard office technology; ability to learn CRM, EHR, and referral-management systems.
Ability to follow established procedures, recognize urgent or incomplete information, and escalate concerns appropriately.
Ability to compile accurate reports and collaborate across operational, clinical, and leadership teams.
Understanding of confidentiality and secure handling of sensitive information.
Additional Requirements
