Damen Song Cam Shipyard (DSCS) is part of the Damen Shipyards Group, one of the world's leading shipbuilders. Located in Hai Phong, Vietnam, DSCS specializes in the outfitting, commissioning, and delivery of high-quality tugboats and workboats for customers worldwide. The Administration & Services Department plays a key role in supporting daily business operations by providing office administration, facility support, travel coordination, company events, workplace services, and employee support activities.

The Role

As an Administration & Services Staff, you are responsible for coordinating and delivering administrative and support services that ensure the smooth operation of the company.

You will support employees, visitors, managers, and external service providers by organizing office services, travel arrangements, accommodation, transportation, company events, documentation, and other administrative activities. The role requires strong organizational skills, effective communication, customer focus, and the ability to work with multiple stakeholders simultaneously.

Key Responsibilities

Administration & Office Support

• Provide day-to-day administrative support to departments and employees.
• Prepare and maintain administrative records, correspondence, forms, reports, and other documentation.
• Manage incoming and outgoing documents, deliveries, and correspondence.
• Maintain filing systems and ensure proper document control in accordance with company procedures.
• Support company communication and information distribution activities.

Travel & Visitor Coordination

• Arrange domestic and international business travel, including flight bookings, accommodation, transportation, visas, and travel documentation.
• Coordinate hotel bookings and transportation services for visitors, suppliers, customers, and colleagues.
• Support reception and visitor management activities to ensure a professional visitor experience.
• Prepare logistics for meetings, workshops, audits, training sessions, and business events.

Facility & Service Management

• Coordinate office facilities, workplace services, office supplies, and administrative service providers.
• Monitor office assets, stationery, uniforms, refreshments, and shared facilities.
• Support canteen, transportation, cleaning, security, and other administrative services.
• Follow up service requests and coordinate resolution of facility-related issues.
• Support workplace improvement initiatives to enhance employee experience and operational effectiveness.

Event & Employee Support

• Support the organization of company events, employee engagement activities, celebrations, and internal communication programs.
• Coordinate logistics for training courses and support training administration activities when required.
• Assist employees with administrative procedures, service requests, and general workplace support.
• Support cross-functional projects and administrative improvement initiatives.

Vendor & Administrative Coordination

• Coordinate with suppliers and external service providers regarding administrative services.
• Support purchase requisitions and follow-up activities related to office and administration requirements.
• Maintain accurate administrative records and support budget tracking activities for departmental expenditures.
• Ensure compliance with internal procedures and company standards.

Skills & Experience

To be successful in this role, you bring:

Education

• Bachelor’s Degree in Business Administration, Office Administration, Economics, Hospitality, Human Resources, English, or another relevant discipline.

Experience

• Minimum 1-3 years of experience in administration, office support, customer service, executive support, hospitality, or a similar role.
• Experience in a manufacturing, industrial, multinational, or service environment is an advantage.
• Experience coordinating travel, events, facilities, or employee services is preferred.

Systems & Language

• Proficiency in Microsoft Office applications, particularly Outlook, Word, Excel, and PowerPoint.
• Good command of English, both written and spoken.
