Payroll & HR Operations Specialist

The Payroll & HR Operations Specialist will be part of the PayHub Team, providing comprehensive HR operational and administrative support throughout the employee lifecycle. The role is responsible for ensuring the smooth and accurate execution of HR processes, supporting employees and project teams, and coordinating employment-related administrative activities for both local and international assignments.

Main Responsibilities

Employee Lifecycle Management

• Manage the administrative processes related to the new hires.
• Prepare employment contracts and other relevant employment documentation.
• Ensure the completeness and accuracy of new employees’ profiles and required documentation.
• Coordinate the administrative steps required for new hires and ensure timely completion of onboarding activities.
• Coordinate employee exit procedures and ensure that all relevant documentation and HR records are completed and updated.

Employee Administration & Absence Management

• Manage and maintain employee leave and absence records, ensuring accurate and timely updates.
• Monitor leave dates in coordination with project requirements and employee participation in relevant projects.
• Handle sickness absence procedures and related employee documentation.
• Coordinate administrative matters related to the Occupational Physician, including informing new employees about required medical examinations.
• Prepare and issue employment certificates, confirmations, and other HR-related documentation.
• Handle individual employee requests and ensure timely follow-up and resolution.

 Project & Workforce Administration

• Collect and consolidate attendance and timesheet records from Technical Base Teams.
• Monitor attendance information and support the accurate allocation of employees to projects.

 International Mobility & Social Security Administration

• Coordinate the administrative procedures related to employees assigned to international projects.
• Support the preparation and processing of A1 certificates and relevant e-EFKA procedures.
• Collect and maintain the required supporting documentation for international assignments.
• Follow up on applications, approvals, and documentation to ensure compliance with applicable requirements.

 Employee Support & HR Helpdesk

• Act as a first point of contact for employees regarding day-to-day HR administrative matters.
• Provide timely and professional support on topics such as Employee Self-Service (ESS), leave and absence, sickness, expense claims, private insurance, certificates, and other HR-related processes.
• Guide employees through relevant HR procedures and systems.
• Coordinate with the appropriate internal teams to resolve employee queries and requests.
• Maintain a high level of confidentiality when handling employee information and personal data.
• Contribute to a positive employee experience by providing responsive, accurate, and service-oriented HR support.

Requirements

• Advance training in Human Resources/Economics or similar field of expertise, such as one would receive at Previous experience in Pylon System of Epsilonet would be an added value;
• A university, technical trade schools etc. or even by multiple years of on the job training;
• A minimum of 2 years’ experience in a similar position
• Clear and effective oral and written communication skills in English language;
• Proficient knowledge of Microsoft Office required;
• Excellent use of Excel;
• Experience of working with HRMS systems is to be considered as extra skills;
