Customer Service Administrator at L'Artigiano

We are looking for a Customer Service Administrator to join our team at L'Artigiano and support the smooth delivery of products and services to our customers.

The role combines customer service administration, invoicing, customer data management and coordination with internal teams. The ideal candidate is organised, proactive and comfortable working in a fast-paced environment where accuracy and customer satisfaction are key.

Key Responsibilities

• Prepare, review and issue customer invoices accurately and on time.
• Handle customer queries relating to invoices, orders and deliveries.
• Maintain accurate customer records, KYC documentation and databases.
• Support the onboarding of new customers and coordinate their approval with the Finance team.
• Monitor customer accounts and flag long-overdue invoices for follow-up.
• Coordinate with Sales, Finance, Logistics and Operations to resolve customer and delivery issues.
• Ensure customer orders and records are properly maintained in Navision/Danea.
• Support customer satisfaction surveys and service performance monitoring.
• Assist in preparing reports, dashboards and other customer service documentation.
• Identify recurring issues and suggest improvements to customer service processes.
• Support the onboarding and training of new Customer Service Officers.
• Maintain good knowledge of our product range, product codes, descriptions and packaging.
• Attend relevant operational and customer service meetings.

What We’re Looking For

• Minimum 1 year of experience in sales administration, customer service administration or a similar role.
• Higher School Certificate or equivalent; further studies in Business Administration, Sales or a related field will be an advantage.
• Good knowledge of MS Office and CRM/business systems.
• Strong attention to detail and numerical accuracy.
• Good communication and interpersonal skills.
• Ability to coordinate effectively with different departments.
• Proactive, organised and able to manage multiple priorities.
• A customer-focused attitude, with a willingness to learn and continuously improve.
