Essential Job Duties and Responsibilities:

• Supports the administration of programs in accordance with the contract, policies, procedures and department instructions.
• As required, establishes and maintains folders and repositories ensuring document control and tracking
• Supports the program managers in ensuring contracts are met in the most efficient and profitable manner
• Supports program execution to meet technical performance within cost and schedule
• Supports and monitors all elements of the assigned program activities from inception to completion which may include proposal development, product design, procurement, subcontracting, testing, delivery, installation and acceptance of the products and/or services
• Supports the program managers in performing the following tasks: monthly status reports; liaises with other Company support groups; Program Management Review (PMR) slides; provides meeting logistic support, including the development of agendas, phone contacts, meeting minutes and action item tracking;
• Supports early or on-time deliveries of all required project/program documentation.
• Monitors programs’ Action Items (AI) lists and supports timely completion of open AIs
• Performs financial management tasks, which may include invoice generation, preparation of information for the cost estimation team, SAP or other accounting system administration.
• Reports on risk management to help identify risk reduction on assigned programs
• Escalates any issues to program management with sufficient lead for timely resolution
• Coordinates and/or assists with proposal development, statements of work, specification development and major subcontract management

Additional Responsibilities:

• Assist in monitoring project budgets, ensuring all expenses are tracked and controlled.
• Assist in Preparation of monthly financial reports, including forecasts, budget variances, and cost analysis.
• Work with finance teams to secure necessary funding and assist in managing cash flow for projects.
• Assist finance team in providing project information during Internal and External Audit.
• Ensuring all financial activities comply with company policies, legal regulations, and industry standards.
• Liaise with project managers, finance teams, and other stakeholders to provide financial insights and updates.
• Strong analytical and problem-solving skills to interpret financial data and make recommendations.
• Ability to manage multiple projects and tasks simultaneously, prioritizing as necessary and adhering to month end deadline.

Location

• UK – Amesbury, Whiltshire 

• Monday to Friday, Occasional weekends with Business Requirement

• Onsite 4 days per week.

Minimum Job Requirements:

Qualifications

Essential:

• Certificate / Diploma in Project Management or other related discipline, or equivalent experience

Skills/Experience/Knowledge

Essential:         

• 5 – 8 years’ experience performing project administrative / coordination duties
• Experience of demand management and schedule management
• Experience working with SAP or any other Accounting/ERP system.
• Strong knowledge of project management processes and tools
• Skilled user of SharePoint, MS Project and MS Office, MS Suite (Word, Excel, PowerPoint, etc.)

Condition of Employment:
