The Role:

In this role that will give you true insight into the workings of a global fashion ecommerce business, you will provide joint administrative support across the Finance and People & Culture (P&C) departments. This role handles essential operational, payment, expenses, bookkeeping, payroll onboarding, and office administration tasks to assist our department heads, assist with projects such as HRIS project implementation and Finance process improvement initiatives, and optimise routine backend workflows.

Day to day, you will:

Finance:

Assist with daily finance processes including credit card reconciliations, funding Amex cards, and managing team or supplier enquiries.
Handle payment administration, including maintaining approvals and verifying new supplier bank details.
Problem solving - assist the Head of Finance with issues and complex challenges as they arise
Ensure approvals processes are consistently followed and adhered to by the wider team.
Support the team with general finance enquiries including payroll & Xero enquiries.
Manage and execute on team travel arrangements and bookings for campaign, marketing and product domestic and overseas travel, including liaising with our insurers and ensuring the best possible costs are applied (including AMEX portal bookings).
Setting up Finance user access, setting up Airwallex staff cards, setting up employees in banks.

People & Culture

Support payroll checks and onboarding administration by coordinating data flow between HR tools (e.g. Flare/HRIS) and Xero.
Recruitment - post job ads, review applications, phone screen, set up interviews, provide feedback.
Project management - provide critical support in the implementation of a new HRIS across the business.
Manage general office administration tasks, including ordering office supplies, tracking team anniversaries, and supporting P&C overflow tasks.
Support team cultural initiatives through compilation of our Friday Team Meet slides, purchasing gifts for the team on behalf of the CEO and assisting in organising and hosting team events.
Create & maintain critical employee data - including creation of letters and contracts with support from Head of P&C.
Support with ordering of IT hardware for the team and system access (googlesuite, slack, asana).

Who are you?

1+ years of experience in a finance, HR, or general business administration role.
Previous bookkeeping and/or payroll experience highly advantageous
Strong initiative and problem-solving skills to navigate complex forms and historical documentation independently.
High level of attention to detail and accuracy in data entry and verification processes.
Excellent interpersonal and communication skills across multidisciplinary teams.
