The Job You Will Perform: 

The Administrative Assistant primarily supports the Production departments here at the Vicksburg Mill. This position is responsible for the following tasks and responsibilities: 

• Create weekly crew and vacation schedules for all Production Areas
  o    Understand and resolve vacation scheduling conflicts
  o    Schedule training for employees
  o    Schedule employee certifications
• Maintain inventories of department equipment, tools, office supplies and frequently used items 
• Manage department files and records retention for areas in the mill
• Creates and posts weekly communication charts for the departments 
• Support Operating Departments and Mill Leadership Team by completing other necessary administrative tasks / needs 
• Plan and coordinate scheduled meetings and travel arrangements with quality and accuracy
• Train with and learn responsibilities of other administrative assistants throughout the mill to be able to provide relief support
• Learn and understand TSA (payroll and time entry processing system) to be able to process time, as a relief, and run reports for respective departments.  
• Make deposits from funds received 
• Pick up mail at Redwood Post Office
• Coordinate classes and training for Safe Align, Empowering Safe Work and other training events
• Support Monthly and Quarterly visits from external teams and customers; tasks include but are not limited to booklets and catering 
• Release railcars in CPKC and notify shipper, railroad and IP personnel of release status
  
   

The Skills You Will Bring:

• Minimum education level of Associates Degree or equivalent work experience required. 
  • Five (5) years of administrative support experience preferred. 
• High level of attention to detail is required.  
• Previous knowledge of SAP and/or payroll systems is a plus.
• To be successful in this role, the individual must be willing to help others throughout the mill as needed and maintain a positive attitude. 
• Ability to handle confidential information with discretion is required. 
• The position requires a self-starter who can anticipate the needs of multiple managers and prioritize his/her own work. 
• The successful candidate will be able to work independently to meet tight deadlines and be able to shift priorities in order to handle a variety of work and changing deadlines. 
• Selected candidate must have excellent and professional computer skills including proficiency in Microsoft office applications (Word, Excel, PowerPoint and Outlook).
