Purchasing Assistant

Full-Time | Onsite in Van Nuys, CA | Non-Exempt |

Are you organized, detail-oriented, and ready to build your experience in purchasing and procurement operations? Electro Rent is looking for a proactive Purchasing Assistant to help coordinate vendor returns, repairs, credits, replacements, spare parts, and purchasing activities.

In this role, you will work closely with vendors and teams across Purchasing, Accounting, warehouse operations, shipping, and technical services. You will help keep equipment and purchasing transactions moving smoothly from initial request through final resolution.

Responsibilities

What You’ll Do

• Coordinate vendor return merchandise authorizations, known as RMAs
• Create and update purchase orders for returns, repairs, credits, replacements, new purchases, and spare parts
• Track equipment and RMAs from authorization through final closure
• Coordinate shipments with domestic and overseas warehouses
• Maintain accurate purchasing and asset records in the MRP system
• Investigate damaged goods, shortages, incorrect shipments, missing credits, and other discrepancies
• Provide clear, timely updates to vendors and internal teams
• Help resolve invoice, credit, and billing issues with Purchasing and Accounting
• Follow up on outstanding vendor actions and identify opportunities to improve processes

Qualifications

What You’ll Bring

• High school diploma or equivalent education and experience
• At least one year of office, administrative, purchasing support, order-processing, or comparable experience
• Working knowledge of Microsoft Excel, Outlook, and Teams
• Strong data-entry, organizational, and recordkeeping skills
• Clear written and verbal communication
• Ability to manage multiple priorities and follow through on open items
• Practical problem-solving skills and strong attention to detail 

Experience with vendor RMAs, purchase orders, MRP or ERP systems, shipment tracking, warehouse operations, or vendor credit reconciliation is a plus.
