Job Summary: The Strategic Accounts Inside Sales Support Specialist plays a critical role in supporting NEFCO's strategic accounts. This position is responsible for supporting several parts of the order lifecycle, from sourcing and procurement through order validation, and customer confirmation. This role serves as a key liaison between Sales, Purchasing, Vendors, Warehouse Operations, and Customers to ensure orders are processed accurately, efficiently, and in alignment with customer requirements.

The ideal candidate is highly organized, detail-oriented, customer-focused, and capable of managing multiple priorities in a fast-paced environment. Success in this role requires strong analytical skills, a sense of urgency, and the ability to proactively identify and resolve issues to ensure an exceptional customer experience.

Job Duties:

Strategic Account Order Management

• Validate strategic account customer purchase orders to confirm they match the corresponding NEFCO quote.
• Enter ship-to information accurately on each sales order.
• Enter line items so they match the line-item numbers on the customer’s purchase order.
• Reassign the order writer from inside sales to the salesperson who quoted the job.

Sourcing & Procurement

• Source special-order and non-stock items to meet customer project requirements and timelines.
• Generate purchase orders and coordinate with vendors to secure pricing, availability, and delivery commitments.
• Resolve procurement-related discrepancies involving pricing, quantities, lead times, substitutions, or product specifications.
• Partner with vendors and purchasing teams to expedite critical project materials when necessary.

Order Fulfillment & Customer Support

• Move orders from quote status to order status.
• Send order confirmations to customers.
• Work closely with the relevant inside sales writer, outside sales, purchasing, and warehouse teams to keep orders moving and customers informed.

Requirements

Required Qualifications:

• Proficiency with Microsoft Office Suite, including Excel, Outlook, and Teams.
• Ability to analyze purchase orders, quotes, pricing, and order details with a high degree of accuracy.

Preferred Skills & Experience:

• Working knowledge of Eclipse ERP
• Familiarity with procurement and sourcing
• Exceptional attention to detail and commitment to accuracy.
