Job Overview

The Traffic Administrative Assistant supports the OTR goals of moving all shipments on time and damage-free in a safe environment. Duties may include planning, organizing, and coordinating various initiatives and providing guidance through the application of process management and analytical techniques. 

The ideal Traffic Administrative Assistant (OTR Dispatcher) develops strategies to improve over the road procedures, better communication between drivers, departments, and vendors as well and display analytical and forward thinking to solve problems.

Reports to: Traffic Manager/Traffic Manager Assistant

Job Responsibilities & Duties

Typical duties include but are not limited to:

• Answer calls from delivery drivers and relay any emergencies they have to the appropriate channels.
• Booking and coordination of freight in a cost-effective manner for the company.
• Communicate with drivers, customers, vendors, shippers, and receivers regarding changes in pick-up/delivery, potential service failures, appointments, and the pick-up/delivery of loads
• Monitor road conditions, construction zones, and accidents to revise routes as needed
• Maintain Federal Motor Carrier Safety Administration (FMCSA) driver log compliance
• Track/trace shipments when requested and update vendors and locations on the status of their deliveries including any delays that occur
• Daily monitoring of all assigned over the road routes 
• Hours of service and progress tracking
• Build loads for transfers, any incoming loads, 
• Keep track of out of services tractors and trailers
• Commitment to AFW’s safety policies and procedures and ability to promote awareness. 
• Abide by all company policies and procedures.
• All other duties assigned by the Traffic Manager as directed.

Additional recruiting support duties may be assigned:

• Pre-screen applicants by asking specific questions to find the most qualified candidates.
• Schedule interviews between applicants and the hiring manager, and coordinating hiring efforts with fleet safety, HR and compliance. 
• Communicate with potential drivers about employment with American Furniture Warehouse including the job duties, benefits, pay, etc. 
• Answer incoming and make outgoing calls in a professional and pleasant manner.
• Monitor the progress/flow of all applicants within the applicant tracking system and other formats. 
• Perform general administrative support work such as running reports, copying, filing, faxing, scanning, etc.

This position has no supervisory responsibilities. This position is supervised directly by the Traffic Manager and/or Traffic Manager Assistant. 

Job Requirements

• Preferably has previous experience as a Traffic Administrative Assistant, OTR Dispatcher, or similar role.
• Knowledge of Federal Motor Carrier Safety Administration (FMCSA) and Department of Transportation (DOT) laws.
• Ability to regularly use computers for ordering, communication, documentation, and scheduling. Able to apply technology up to and including Electronic Logging Devices, iPads, dispatch software. Experience with McLeod Fleet Locate and Omnitracs preferred.
• Familiarity with Microsoft Office Suite (Outlook, Word, PowerPoint, Excel, etc.)
• Excellent verbal and written communication skills.
• Excellent interpersonal and customer service skills.
• Ability to maintain a congenial calm communication style and the ability to diffuse and clarify the needs of drivers to achieve clear solutions.
• Ability to analyze, model and interpret data
• Have strong independent follow up skills
• Excellent organizational skill and the ability to demonstrate attention to detail, and accuracy.
• Ability to prioritize tasks and to delegate them when appropriate.
• Sense of ownership and pride in your performance and its impact on AFW’s success.

Education & Experience

Two-year college or university program degree preferred; High School diploma required; equivalent combination of education and experience accepted in lieu of degree. Certifications and licenses related to business and safety or valid CDL is a plus!

Compensation

Pay Rate: Starting at $18/hour and up - dependent on experience

Physical Requirements

• Capacity to maneuver in confined and at times congested areas.
• Capability to stand, walk, stoop, & bend for 8 hours or more daily.
• Lifting, gripping, bending, kneeling, stooping, and moving merchandise 8 hours or more daily.
• Continuous use of arms, hands, fingers, eyes, legs, and back.
• Able to work in variable environments with different lighting, loud exterior noise, and flooring.
