Executive Assistant

Dalfen Industrial is looking for an Executive Assistant to join our team. The ideal candidate will provide top-level assistance to our C-suite based in the Dallas headquarters office. The candidates should be well-organized and comfortable scheduling meetings, preparing documentation and presentations for meetings as necessary.

Position Responsibilities

• Managing the executive's day-to-day calendar, including making appointments and prioritizing the most sensitive matters, and setting up reminders
• Assist in preparation for meetings (including set up, material etc.)
• Answer incoming phone calls and accurately take messages
• Respond to emails and document requests on behalf of executive
• Monitor email flow and organize by priority
• Perform ad hoc duties as needed (business and personal) for executive
• Draft slides, meeting notes and documents as necessary 
• Coordinate all travel arrangements and create trip itineraries
• Maintain comprehensive and accurate records, documents and reports, including contact lists
• Perform minor bookkeeping duties such as expense reimbursements 

Skills & Experience

• Bachelor's degree or equivalent experience
• 5 years experience working with C-level
• Proficient in Microsoft Office suite
• Experience in managing multiple priorities, administrative coordination, and logistics
• Well-organized, detail-oriented, ability to multi-task with great follow-up skills
• Strong written and verbal communication skills
