Marketing Coordinator

Summary

The Marketing Coordinator is responsible for executing marketing campaigns and managing the day-to-day activities that support the overall marketing strategy, as developed in partnership with the Leadership Team. This individual will coordinate RFP responses, implement social media campaigns, coordinate events, and develop marketing materials that support business development efforts. The role will also leverage AI tools to improve the efficiency, quality, and effectiveness of marketing and proposal-related activities.

This role requires strong written and verbal communication skills, excellent organizational skills, an impeccable eye for detail, and the ability to collaborate with team members at various levels of the organization.

Primary Responsibilities 

Proposals, RFPs, and Interviews

• Coordinate responses to RFPs (requests for proposals) and RFQs (requests for qualifications), ensuring alignment with the firm's strategic goals, brand image, and client requirements, with content provided by Project Managers.
• Craft compelling project interview presentations using branded templates, ensuring consistency and professionalism in client-facing materials.
• Leverage AI tools to support proposal development, including research, content organization, drafting, editing, and tailoring responses to specific client requirements.
• Use AI to improve the efficiency and consistency of proposal workflows while ensuring all deliverables are accurate, relevant, and aligned with the firm's voice and standards.

Digital Content

• Develop a social media plan in conjunction with the Leadership Team.
• Lead the execution of the social media plan, including content creation, scheduling, auditing, and tracking analytics to measure effectiveness and engagement.
• Update BDH's website as necessary with company news, new projects, and staff information.
• Leverage AI tools to brainstorm content ideas, draft and refine marketing copy, repurpose content across platforms, and support content planning and development.

Marketing Collateral

• Design and produce branded marketing collateral, graphics, and digital announcements that elevate the firm's visual identity and messaging.
• Design and procure branded promotional products that resonate with the firm's brand and appeal to clients and partners.
• Coordinate and execute project photography with appropriate vendors and partners.
• Utilize AI tools to support the development, refinement, and customization of marketing materials while maintaining brand consistency and quality.

Sponsorships

• Coordinate and execute tradeshow and sponsorship activities, maximizing visibility and engagement opportunities for the firm.
• Support the development of event materials, promotional content, and communications related to sponsorships and industry events.

Data Collection and Maintenance

• Analyze competitors' marketing campaigns and digital content, providing insights and recommendations for strategic positioning.
• Analyze BDH's digital content engagement across various platforms, including data collection and analytics.
• Use AI tools to support market and competitor research, synthesize findings, identify trends, and develop insights that inform marketing and business development strategies.
• Identify opportunities to use AI and other technology to streamline recurring marketing tasks, improve workflows, and increase productivity.

Public Relations

• Research appropriate awards and coordinate the submission process.
• Manage the company's brand image and voice across media platforms and industry organizations.
• Manage and enhance BDH's annual Acts of Kindness initiative, aligning philanthropic efforts with the firm's values and community presence.
• Use AI tools as appropriate to support research, draft award submissions, and develop communications and supporting materials.

Budget and Planning

• Create and manage the marketing department budget.
• Develop the marketing plan in conjunction with the Leadership Team.
• Execute the marketing plan, tracking progress and coordinating activities to support the firm's strategic priorities.
• Evaluate tools, processes, and opportunities to improve marketing efficiency and effectiveness, including the thoughtful integration of AI.

Knowledge and Skill Requirements

• Bachelor's, associate's, or equivalent degree in Communications, Marketing, Business, or a related field.
• Three or more years of related experience.
• Proficiency in Microsoft 365 tools and Canva.
• Experience using AI tools to support research, content development, proposal preparation, editing, and workflow efficiency.
• Familiarity with Claude is strongly preferred; experience with other generative AI tools is also valuable.
• Ability to prioritize and execute multiple projects with varied timelines.
• Strong attention to detail and commitment to producing accurate, high-quality work.
• Familiarity with social media platforms and digital marketing practices.
• Excellent written and verbal communication skills.
• Creative and innovative thinker who can translate ideas into effective marketing materials and campaigns.
• Ability to multitask, take initiative, and identify opportunities for process improvement.
• Demonstrated ability to evaluate and refine AI-generated content for accuracy, quality, brand alignment, and appropriateness.
• Demonstrates alignment with BDH's core values.
• Graphic design experience preferred.
