Operations Assistant

MG+M The Law Firm has an immediate opening for an Operations Assistant in our Boston office.

This role offers a unique opportunity to build a career in law firm operations. We're looking for someone who is highly organized, adaptable, and excited about leveraging AI and technology in a fast-paced environment. Prior legal experience is not required.

MG+M is a nationally renowned litigation law firm concentrating on complex civil matters. The firm's expertise is diverse but focused in the areas of toxic tort, complex product liability, local government, general liability, and commercial litigation. Essential Duties and Responsibilities:

• Provide day-to-day operational and administrative support to the firm’s Director of Operations.
• Build and maintain lease-tracking spreadsheets consolidating real-estate terms across all national offices.
• Liaise with external vendors as the primary point of contact, coordinate and schedule services, maintain relationships and respond to internal and external requests.
• Collaborate with the Operations and Finance teams to build quarterly and annual firmwide budget forecasts.
• Facilitate extensive office moves, including the acquisition of additional office space, organize architectural, structural, and design contracts, and provide on-site assistance to support staff.
• Maintain detailed inventory of all company branded merchandise and coordinated shipments of items across all national office locations.
• Utilize AI and technology tools to streamline processes, improve efficiency, and support operational initiatives.

Candidate Requirements:

• Professional experience in an administrative, operations, customer service, or support role preferred, but not required. Interest in the legal field a plus.
• Strong technology skills and ability to quickly learn new systems.
• Experience using AI tools (Microsoft Copilot, ChatGPT, Gemini, or similar).
• Proficiency with Microsoft Office, particularly Outlook, Excel, Word, and Teams.
• Attendance & Punctuality: Consistently arrive at work and meetings on time; ensure responsibilities are covered when absent.
• Communication: Excellent written and verbal communication skills, with the ability to interface effectively with attorneys, other paralegals, and legal administrative assistants.
• Organization: Strong organizational skills and ability to prioritize tasks and meet deadlines in a dynamic environment.
• Customer service: Respond promptly to attorney and client requests for service and assistance; meet commitments.
• Dependability: Follow instructions, complete tasks on time, work independently, and commit to the hours necessary to meet deadlines.
• Teamwork: Contribute to building a positive team spirit and support the success of colleagues.
