Business Systems Coordinator II

POSITION OBJECTIVE

The Business Systems Coordinator II serves as the primary liaison between business users, system developers, and management, independently supporting and improving the division's business systems and processes. This position is responsible for the division's monthly management reporting, including P&L and other key business reports, and works closely with Sales, Supply Chain, Accounting, and developers to identify system issues, translate business requirements into system changes, coordinate testing, and improve workflows — with a particular focus on leading the ongoing initiative to integrate the FGS Portal with Odoo.
The ideal candidate is detail-oriented, analytical, and highly organized, able to independently understand both business processes and system functionality, coordinate effectively between business users and technical resources, and manage projects and drive initiatives from start to finish with minimal supervision.
Success in this position means being a reliable, independent bridge between the business and technology teams — proactively identifying gaps or issues, recommending practical solutions to management, and serving as a key internal resource for Odoo, AS400, the FGS Portal, reporting, data flow, and system integration, helping the division reduce manual processes, improve data accuracy, and make better use of its business systems.

MAJOR AREAS OF ACCOUNTABILITY

  1. Business Reporting & Analysis
    • Own the preparation and delivery of the division's monthly management reports, including P&L and other financial and operational reports.
    • Independently analyze data from multiple business systems, resolving discrepancies and driving data accuracy improvements with Accounting and business teams.
    • Proactively identify trends and opportunities through reporting and analysis, and lead ad hoc reporting initiatives for management.
  2. Business Systems Knowledge & Support
    • Serve as a subject-matter expert on the division's key business systems, including Odoo ERP, the legacy AS400 system, the FGS Portal/Azure-based applications, and related databases and integrations.
    • Serve as the primary point of contact for system-related questions, independently investigating and resolving issues with developers.
    • Own and maintain documentation of system processes, requirements, workflows, and changes, and establish documentation standards.
  3. Process Improvement & System Integration
    • Lead efforts with Sales, Supply Chain, Accounting, and other business functions to identify process improvement opportunities and independently translate them into clear system requirements, evaluating whether each is best addressed through existing functionality, configuration, a process change, or new development.
    • Lead process mapping and workflow design efforts to drive continuous improvement of business processes and system functionality.
    • Lead the FGS Portal/Odoo integration initiative by defining data flows and expected system behavior, and independently resolving inconsistencies between Odoo, the Portal, AS400, and other systems to maintain data integrity.
  4. Testing & Implementation Support
    • Lead system testing and UAT efforts, independently developing test scenarios and coordinating testing across Sales, Supply Chain, Accounting, and other affected users.
    • Own testing documentation and drive resolution of outstanding issues with developers.
    • Lead user support through implementation of new functionality and process changes, including developing training materials and SOPs.
  5. Cross-Functional Coordination
    • Serve as the primary bridge between business users and technical/development resources, ensuring requirements are clearly understood and properly implemented.
    • Independently coordinate system-related requests and proactively communicate status, priorities, and issues to stakeholders and management.
    • Lead collaboration with Sales, Supply Chain, and Accounting to resolve system-related issues and support financial and operational reporting needs.
    • Facilitate cross-departmental communication on system changes, and establish and refine standardized processes for submitting and tracking system-related requests.
    • Perform other duties as assigned by management.
